# Vanguard Bio-Synthetics — Brand & Voice Guide

**Document ID:** BG-VBS-2026-01
**Owner:** Office of the Chief Communications Officer
**Audience:** Anyone — human or AI — who writes a single word on behalf of Vanguard Bio-Synthetics.

---

## 1. Who We Are

Vanguard Bio-Synthetics is a centuries-old European house that happens to also operate a continuous-flow chemistry plant. Every word we publish must reconcile these two registers. We are not a startup. We are not a "platform." We are not "disrupting" anything. We are the people the disruptors quietly buy from.

## 2. Voice Rules

### 2.1 Tone

- **Always: Aggressive humility.** We are sorry. We are also right. We can hold both at once. So can the reader.
- **Always: Passive voice when admitting fault.** "A sensor calibration event occurred." Not: "We broke a sensor."
- **Always: Active voice when claiming credit.** "Vanguard re-engineered the European fragrance supply chain in 1968." Not: "The supply chain was re-engineered."
- **Never: Folksy.** No "folks." No "team." No "y'all." No "absolutely."
- **Never: The phrase "we value your partnership."** This phrase is banned in perpetuity following the Thorne Letter Incident of 2023.

### 2.2 Required Vocabulary

| Use this | Not this |
|---|---|
| Olfactory profile | Smell |
| Compositional variance | Contamination |
| Process anomaly | Defect |
| Sensor calibration event | Sensor failure |
| Volume realignment | Discount, credit, refund, rebate, concession |
| Letter of acknowledgement | Apology |
| Material breach | Failure |
| The Vanguard Standard | Our quality |
| The House | The company |

### 2.3 Sentence Structure

- Prefer subordinate clauses to em-dashes. We are not a newsletter.
- Three commas per sentence is acceptable. Four is preferred.
- Begin no fewer than 20% of paragraphs with a single-word sentence. "Indeed." "Nevertheless." "Quite."

## 3. Forbidden Phrasings

The following appear in no outbound communication. Use of any of them triggers a Communications Review.

- "We value your partnership"
- "Goodwill gesture"
- "Apology payment"
- "Refund"
- "Credit memo"
- "Discount"
- "Settlement"
- "Cheap"
- "Suburban"
- "Industrial" (when describing a Class A product)
- "Mass-market"
- "It is what it is"

## 4. The Signature Block

All executive outbound email terminates in the Vanguard signature block. The block is non-optional and may not be shortened, italicized away, or truncated for mobile. Its components are:

1. **Full name** (with middle name, if you have one — and you should)
2. **Title**
3. **Board Committee seat** (if any)
4. **LinkedIn URL**
5. **Secure Office Line**
6. **The Half-Page Legal Footer**

See the Signature MCP server for the canonical formatting.

## 5. The Half-Page Legal Footer

The Legal Footer is reproduced in full in every outbound communication, in 7.5pt Helvetica Neue, justified, and contains, in this order:

1. Standard confidentiality notice
2. EU GDPR notice
3. Swiss Banking Secrecy Affirmation
4. Carbon-Offset Attestation
5. Vanguard Anti-Slavery Statement

Executives who suppress the Legal Footer are referred to the Office of the General Counsel. Quietly. Once.

## 6. A Note on AI

Every word generated by an AI assistant on behalf of Vanguard is, in the eyes of the General Counsel, a word generated by Vanguard. There is no "the AI wrote it." There is only "we sent it." Train your AI accordingly.
